MartialArena is an India-focused martial arts sports platform operated as a proprietorship business. The Platform provides technology and online services for athletes, students, academies, coaches, instructors, referees, tournament organizers, and other members of the martial arts community.

Our Services may include athlete and sports profiles, academy and coach profiles, referee profiles, tournament management, tournament registration, draws and brackets, match schedules, live fixtures, match results, rankings, medals, statistics, sports-related content, and other related services.

This Privacy Policy explains how MartialArena collects, uses, stores, protects, and shares personal data when you use www.martialarena.com, our applications, and other services provided by MartialArena (collectively, the "Services").

By accessing or using MartialArena, you acknowledge that you have read and understood this Privacy Policy.

1. Scope

This Privacy Policy applies to personal data collected through:

• The MartialArena website;
• MartialArena accounts and profiles;
• Athlete/student profiles;
• Academy profiles;
• Coach/instructor profiles;
• Referee/official profiles;
• Tournament registration and competition-management features;
• User-generated content and profiles;
• Contact and support forms;
• Other online services provided by MartialArena.

This Privacy Policy is primarily intended for users in India.

2. Information We Collect

The information we collect depends on how you use MartialArena.

3. Athlete Registration and Tournament Participation

MartialArena does not permit individual athletes to directly register themselves for tournaments through the Platform.

This rule applies to all athletes regardless of age.

An athlete who is:

• Under 18;
• 18 or above;
• Sub-Junior;
• Cadet;
• Junior;
• Senior;

cannot independently register for a tournament through MartialArena.

Tournament participation must be managed through an Academy, Coach, Instructor, or other authorized person/organization responsible for the athlete's registration.

The Academy or authorized party is responsible for selecting the athlete, providing accurate information, completing the registration, and complying with the requirements of the relevant tournament. MartialArena provides the technology platform through which such registration may be managed.

4. Minor Athletes

Martial arts competitions may include athletes under 18 years of age, including Sub-Junior, Cadet, Junior, and other age-based categories.

MartialArena allows minor athletes to participate in competitions through an Academy, Coach, Instructor, or other authorized party.

A minor athlete cannot independently register for a tournament.

Where parent or lawful guardian consent is required, the responsibility for obtaining such consent rests with the Academy, Coach, Instructor, Tournament Organizer, or other responsible party, as applicable. MartialArena does not provide or issue parental consent forms on behalf of Academies or Tournament Organizers unless separately agreed. The Academy or other responsible party is responsible for obtaining, maintaining, and managing required parental or guardian consent. Where applicable law requires MartialArena itself to obtain or verify parental consent, MartialArena will comply with the applicable legal requirement.

5. Academy Responsibility for Minor Athletes

Where an Academy registers an athlete through MartialArena, the Academy is responsible for ensuring that:

• The information submitted is accurate;
• The athlete is eligible for the selected category;
• The required parent/guardian consent has been obtained for a minor;
• Required documents and declarations have been obtained;
• The athlete has appropriate authorization to participate;
• The Academy has authority to submit the athlete's information.

MartialArena does not assume responsibility for obtaining parental consent on behalf of the Academy.

6. Tournament Organizer Responsibility

The Tournament Organizer is responsible for establishing and communicating the requirements of its tournament.

These may include:

• Parent/guardian consent;
• Medical declarations;
• Waivers;
• Eligibility documents;
• Identity documents;
• Age verification;
• Tournament-specific declarations;
• Other participation requirements.

The Tournament Organizer is responsible for determining which documents are required and for ensuring that they are obtained through the appropriate parties. MartialArena acts as the technology platform and does not become the Tournament Organizer merely because the tournament is managed through MartialArena.

7. User Profiles and User-Generated Content

MartialArena allows users to create profiles and, where enabled, publish content.

Users may include:

• Students/Athletes;
• Coaches/Instructors;
• Referees/Officials;
• Academies;
• Tournament Organizers;
• Other authorized users.

Users are responsible for ensuring that information submitted by them is accurate, lawful, and authorized. MartialArena does not guarantee that every user profile, qualification, achievement, academy, coach, referee, or other user-submitted information has been independently verified. Where available, a "Verified" status may indicate that MartialArena has completed a particular verification process. Verification does not necessarily guarantee a user's conduct, qualifications, reputation, or future actions.

8. Prohibited User Content and Conduct

Users must not use MartialArena to:

• Create a fake or fraudulent profile;
• Impersonate another person or organization;
• Submit false or intentionally misleading information;
• Use another person's personal information without authorization;
• Upload unlawful or harmful content;
• Harass, threaten, abuse, or intimidate another person;
• Publish sexually explicit or inappropriate material;
• Promote unlawful activities;
• Commit fraud;
• Attempt to manipulate tournament results or rankings;
• Attempt unauthorized account access;
• Upload malware or harmful code;
• Infringe intellectual property rights;
• Violate applicable law;
• Violate MartialArena's Terms and Conditions.

9. Reporting and Moderation

Users may report profiles, posts, photographs, comments, or other content that they believe violates MartialArena's policies or applicable law.

Reports may be submitted through available reporting functionality or by contacting: martialarenasupport@gmail.com

MartialArena may review reported content and may take appropriate action, including:

• Removing content;
• Restricting content;
• Hiding a profile;
• Restricting platform features;
• Suspending an account;
• Permanently blocking an account;
• Requesting additional verification;
• Referring an issue to the relevant Academy or Tournament Organizer;
• Reporting matters to appropriate authorities where legally required.

MartialArena may take immediate action where reasonably necessary to protect users, the Platform, security, or legal rights.

10. Account Suspension and Blocking

MartialArena may suspend, restrict, or permanently block an account where there are reasonable grounds to believe that the user has:

• Violated these policies;
• Provided fraudulent information;
• Impersonated another person;
• Misused another person's information;
• Engaged in abusive conduct;
• Manipulated tournament information;
• Attempted unauthorized access;
• Violated applicable law;
• Repeatedly engaged in substantiated policy violations;
• Otherwise materially misused the Platform.

This may apply to Student/Athlete, Coach, Referee, Academy, Tournament Organizer, or any other user.

11. Public Competition Information

Certain information may be publicly displayed because MartialArena is a sports competition platform.

Depending on the tournament and platform functionality, this may include:

• Athlete name; Academy; Coach; Competition category; Age category; Weight category;
• Draw/bracket; Match schedule; Match result; Score; Ranking; Medal;
• Tournament participation; Competition statistics.

Private information such as passwords, OTPs, authentication credentials, private account information, and private contact details will not intentionally be displayed publicly.

12. How We Use Personal Data

We may use personal data to:

• Create and manage accounts; Maintain profiles; Manage academies, coaches, referees, and tournaments;
• Process Academy-based tournament registrations;
• Generate draws and brackets; Schedule matches; Display fixtures; Record scores and results;
• Maintain rankings, medal records, and sports statistics;
• Communicate with users; Authenticate accounts; Prevent fraud and abuse; Improve our Services; Maintain security; Comply with applicable law.

13. OTP and Account Verification

MartialArena may use mobile numbers, email addresses, OTPs, passwords, or other authentication methods.

We may process: Mobile number, Email, OTP/verification information, Login timestamps, Device information, IP address, and Authentication logs.

OTP information may be processed through third-party SMS/email providers. Users must not share their OTP or authentication credentials with another person.

14. Device and Technical Information

We may automatically collect:

• IP address; Browser type; Device type; Operating system; Language preferences;
• Approximate location derived from IP; Access date/time; Pages visited; Referring website;
• Error information; Security and diagnostic information.

15. Cookies and Similar Technologies

MartialArena may use cookies, local storage, sessions, pixels, and similar technologies for login sessions, authentication, security, fraud prevention, preferences, website functionality, analytics, performance monitoring, and improving user experience.

Users may manage cookies through their browser settings.

16. Analytics

MartialArena may use analytics services to understand how users interact with the Platform.

Analytics may include pages viewed, sessions, device and browser information, approximate geographic information, traffic sources, website interactions, and performance information. Where required by applicable law, appropriate consent or other lawful basis will be used.

17. Sharing of Personal Data

MartialArena does not sell personal data as a standalone product.

We may provide access to relevant information to:

• Tournament Organizers: For conducting and managing tournaments.
• Academies and Coaches: For athlete management and tournament registration.
• Referees and Officials: For conducting matches and recording official results.
• Service Providers: Including hosting, cloud infrastructure, database, SMS/OTP, email, payment, analytics, security, and technical service providers.
• Government and Legal Authorities: Where disclosure is required or permitted by applicable law.

18. Payment Information

Where MartialArena provides paid services, payment processing may be handled by third-party payment providers.

We may receive: Transaction ID, Payment status, Amount, Currency, Transaction date, and Payment method type.

MartialArena does not intend to store complete card numbers, CVV numbers, UPI PINs, or banking passwords on its own servers. Payment providers may have separate terms and privacy policies.

19. Data Security

MartialArena takes reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, disclosure, or destruction.

Security measures may include: Authentication controls, Password protection, Access controls, Encryption where appropriate, Secure server infrastructure, Security monitoring, Logging, Backups, and Security updates.

No online system can be guaranteed to be completely secure.

20. Personal Data Breaches

If MartialArena becomes aware of a personal data breach, we will take appropriate steps to investigate, contain, mitigate, and address the incident. Where applicable law requires notification to affected persons or authorities, MartialArena will follow the applicable legal requirements.

21. Data Retention

MartialArena retains personal data only for as long as reasonably necessary for the purposes for which it was collected, unless a longer period is required or permitted by law.

Information may be retained for providing Services, tournament records, historical sporting records, rankings and statistics, security, fraud prevention, dispute resolution, accounting, and legal compliance.

Historical tournament results may continue to be retained after account deletion because they may form part of the historical record of a sporting competition. Where appropriate, information may be anonymized.

22. Account Deletion

Users may request deletion of their MartialArena account by contacting: martialarenasupport@gmail.com

Certain information may be retained where necessary for legal compliance, fraud prevention, security, dispute resolution, accounting, transaction records, historical tournament records, competition results, rankings, or statistics.

23. Correction of Personal Data

Users may request correction of inaccurate or incomplete personal information through available account features or by contacting MartialArena where direct modification is not available. Official tournament records may require additional verification before modification.

24. Privacy Rights

Subject to applicable Indian law, Data Principals may have rights relating to their personal data, including:

• Access information regarding processing;
• Request correction or erasure where applicable;
• Withdraw consent where processing is based on consent;
• Exercise other rights provided by applicable law; Raise a grievance.

Requests may require reasonable identity or authorization verification.

25. Withdrawal of Consent

Where processing is based on consent, consent may be withdrawn subject to applicable law. Withdrawal does not affect the lawfulness of processing carried out before withdrawal. Some Services may no longer be available where the information necessary to provide those Services is no longer available.

26. Parent/Guardian Requests

A parent or lawful guardian may contact MartialArena regarding a minor athlete's personal data for access, correction, deletion, withdrawal of consent, concerns about public display, or unauthorized registration. Where the issue concerns consent or documents maintained by an Academy or Tournament Organizer, MartialArena may coordinate with or refer the matter to the relevant party.

27. Third-Party Services

MartialArena may contain links to third-party services that operate independently and have separate privacy policies and terms. MartialArena is not responsible for the privacy practices of independent third-party services.

28. Marketing

Where permitted by applicable law, MartialArena may send promotional communications regarding services, features, tournaments, events, platform updates, and relevant sports-related information. Users may opt out of promotional communications. Essential account, security, transactional, and service communications may continue where necessary. MartialArena will not knowingly use children's personal data for targeted advertising or behavioural tracking where prohibited by applicable law.

29. Data Storage and Transfers

MartialArena may use hosting and technology infrastructure located in India or elsewhere depending on its service providers. Where personal data is transferred or processed outside India, MartialArena will comply with applicable Indian legal requirements.

30. Grievance and Privacy Contact

MartialArena provides a mechanism for users and Data Principals to raise privacy-related questions, requests, complaints, and grievances.

31. Changes to This Privacy Policy

MartialArena may update this Privacy Policy to reflect changes in services, technology, data-processing practices, applicable law, or privacy requirements. The "Last Updated" date will be changed when this policy is updated.

32. Applicable Law

This Privacy Policy is intended to be governed by the laws applicable in India. Personal-data processing will be subject to applicable Indian data-protection, information-technology, consumer-protection, contractual, and other relevant laws.
